Responsible for supporting Project Managers and Branch Manager with processing their assisgned claims. The Project Coordinator will accompany Project Manager to job sites to complete sketches. They will confirm job related information and update notes in industry related software. They will also be back up to the other Project Coordinators.

Core responsibilities for this position are to include:

  • Creates and maintains digital files for documents and photos
  • Follow up on Project Manager’s estimates
  • Confirm all readings for job sites
  • Communicates with Project Managers throughout the day and document all notes into Xactimate
  • Accompany Project Managers to create sketches of job site
  • Handle all the incoming and outgoing internal mail
  • Responsible making required uniform request and getting appropriate approvals for replacments
  • Is backup for the other project coordinators. There duties require the following:
    • Receive phone calls from customers to answer scheduling questions
    • Prepare packets for fire, water, asbestos, and mold divisions
    • Monitor visitor access when required
    • Dispatch crews and create daily “Work Orders” for losses
    • Maintain daily schedule for crews and project managers
    • Prepare required state, federal, and / or waste management paperwork for all Asbestos projects
    • Download documents and pictures into appropriate job folder for billing
    • Serve as point of contact to all office vendors
    • Serve as liaison to corporate office for new forms, policies, and procedures, ect.
    • Enter “hazard pay” data; organize timecards by division and review for errors; submit to Payroll
    • Organize safety meetings in accordance with company policy
    • Work with Call Center regarding new job information
    • Keep adequate levels of office supply inventory and order when necessary
    • Provide administrative support to Management (Branch Manager, Project Supervisor, Project Managers and Human Resources)
